As Office Manager, you'll work directly with our founders and project leads to ensure smooth day-to-day operations. You'll manage internal systems, bookkeeping, customer communication, scheduling, and HR support and help translate our big ideas into action. This is a high-trust, high-impact role with flexibility and room to grow.

Remote-first, with occasional preference for regional familiarity to understand the context of our local projects.


Responsibilities

  • Manage company inboxes and ensure timely responses
  • Keep digital calendars and project schedules up to date
  • Maintain and improve office systems, SOPs, and filing structure
  • Handle inbound communications from subcontractors, clients, and vendors
  • Monitor financial systems via QuickBooks or similar
  • Track expenses, reconcile invoices, and assist with payroll prep
  • Notify leadership of irregularities or cash flow issues
  • Support onboarding for new hires and subcontractors
  • Maintain updated records for employee files, certifications, and performance reviews
  • Coordinate meetings, performance check-ins, and professional development tracking
  • Assist with web updates, client proposals, or inbound lead handling
  • Collaborate with leadership on social media scheduling or follow up with warm leads

Qualifications

  • Proven experience in office administration or operations
  • Familiarity with QuickBooks, Google Workspace, and Microsoft Office (or Apple equivalents)
  • Experience in construction, trades, or project-based environment is a big plus
  • Strong attention to detail, accountability, and excellent written communication
  • Able to juggle multiple projects and maintain a calm, professional presence
  • High comfort level with remote work and self-direction
  • HR or recruiting coordination experience a plus
  • Located in or near Illinois (Peoria, Rockford, or surrounding areas)
  • Previous experience with job-tracking platforms like JobTread or Contractor Foreman
  • Knowledge of U.S. labor laws, especially Illinois Paid Leave for All Workers Act (PLAWA)
